Finding The Right Tenant
Every prospective tenant is carefully assessed through an independent referencing provider to ensure they meet the required affordability and referencing criteria. Where appropriate, a suitable guarantor may also be accepted, subject to the landlord's approval.
Once a landlord has accepted an application, a holding deposit (in line with current legislation) may be requested to reserve the property while referencing is completed. Following a successful application, the holding deposit will be deducted from the funds due before the tenancy begins.
Our thorough tenant selection process is designed to help landlords find reliable tenants while ensuring the application process is straightforward and efficient for everyone involved.
Tenant Requirements
Once referencing has been successfully completed and the application approved, tenants will be required to pay the agreed tenancy deposit (up to the permitted legal limit) along with the first rent payment in advance before moving into the property.
Savoy Lettings will then oversee the final stages of the tenancy setup, ensuring all required documentation is completed, funds are received, and the property is ready for a successful handover to the tenant.
Tenancy Agreements
We will prepare the relevant tenancy agreement and ensure all required documentation is provided, helping to ensure the tenancy is set up correctly and in line with current legal requirements.
Rent Collections
Where possible, rent payments will be collected by standing order and transferred to the landlord once funds have cleared. We will monitor rental payments and issue reminders where required to help maintain a smooth tenancy.
Should any issues arise with rent payments or breaches of the tenancy agreement, Savoy Lettings will provide guidance and manage the appropriate steps in accordance with the agreed service level. Where legal action or formal proceedings are required, these will be handled in line with current legislation and the terms of our agreement with the landlord.
Property Inspections
We will carry out periodic property inspections to ensure the home is being maintained appropriately by the tenant and remains in a suitable condition. These visits allow us to identify any visible issues, maintenance requirements, or areas that may need attention.
Where any concerns are identified, we will report these to the landlord and provide recommendations regarding any necessary repairs, improvements, or ongoing maintenance.
Safety Inspections
As part of our ongoing service, we can arrange for qualified and approved contractors to complete the required gas safety and electrical safety inspections on behalf of the landlord, helping to ensure the property remains compliant with current legislation.
Repairs & Maintenance
Our experienced lettings team is available to assist with all maintenance and repair matters throughout the tenancy. Where works are required, we will arrange quotations or estimates and discuss these with the landlord before any repairs are authorised, except where immediate action is required to protect the property or prevent further damage.
Any repairs caused by tenant misuse, neglect, or damage will generally be the tenant’s responsibility. All other repairs and maintenance costs remain the responsibility of the landlord unless otherwise agreed.
Where applicable, approved invoices can be settled from rental income and detailed within your regular landlord statement. For any existing warranties, guarantees, or service agreements, please provide these to us so we can liaise with the relevant providers should repairs be required.
Utilities
As tenants are responsible for utility bills and Council Tax during the tenancy, we will provide guidance on the steps required to transfer accounts into their name and register with the relevant providers.
Landlords remain responsible for notifying utility companies of a change of occupancy. Meter readings for gas, electricity, and water will be recorded at the start of the tenancy where available to assist with the transition; however, Savoy Lettings cannot accept responsibility for any inaccuracies, changes made by suppliers, or billing discrepancies.
If a telephone line is present at the property, landlords should contact their provider to arrange any necessary arrangements before the tenancy begins. Please note that we cannot guarantee that an existing telephone number can be retained by the incoming tenant.
Providing us with details of the current utility and service providers, including gas, electricity, water, and telecommunications, will help ensure a smoother handover process..
Inventories & Check Out Reports
We recommend arranging an independent inventory and check-out report before the tenancy begins (prices available on application). This provides a detailed record of the property's condition, contents, fixtures, and fittings, supported by photographs where required. A comprehensive inventory is an important document that helps protect both landlords and tenants and provides clarity should any dispute arise at the end of the tenancy.
Where an independent third-party provider is used, Savoy Lettings cannot accept responsibility for any inaccuracies, omissions, or disputes arising from reports not prepared by our company.
For landlords using our Tenant Placement service, our involvement will conclude once the tenant has taken possession of the property. The landlord will then be responsible for the ongoing management of the tenancy, including rent collection, maintenance arrangements, deposit registration and protection, serving notices where required, arranging safety certificates, and ensuring compliance with any personal tax obligations.
We will coordinate the tenant move-in process and ensure the necessary arrangements are completed. Landlords must also provide a suitable emergency contact number so urgent matters can be addressed if required.
